Sender Profiles
Sender profiles define the identity your AI agents use when sending emails. Each profile includes a name, email address, tone of voice, and optional sign-off and signature — making AI-generated emails feel personal and professional.
What is a Sender Profile?
A sender profile is a virtual persona that your AI agent sends from. For example:
- Sarah Chen (sarah@yourcompany.com) — Professional tone, Account Executive
- Mike Johnson (mike@yourcompany.com) — Conversational tone, SDR
Each sender profile is linked to an email channel account (OAuth mailbox, SMTP, or platform shared sender) that handles the actual sending.
Creating a Sender Profile
- Go to Sender Profiles in the sidebar.
- Click + New Sender Profile.
- Fill in the fields:

- Optionally link the profile to a team member so the profile represents a real person.
- Click Save.
Tone Options

The tone setting influences how the AI drafts all messages sent from this profile.
Linking to Email Channels
A sender profile must be connected to an email channel account to actually send messages. The channel account determines the sending infrastructure:
- OAuth Mailbox — Sends through your connected Microsoft 365 or Google Workspace account
- SMTP Account — Sends through your SMTP server
- Platform Shared — Uses ScendCore’s shared sending infrastructure (Resend)
To link a sender profile to an OAuth mailbox identity:
- Go to Settings > Connected Accounts.
- In the identity table for your connected mailbox, use the Sender Profile dropdown to assign a profile to each email address.
Sign-off and Signature
Sign-off
The sign-off is the closing phrase before the sender’s name (e.g., “Best regards,” or “Talk soon,”). The AI uses this consistently across all messages.
HTML Signature
You can provide a rich HTML signature that gets appended to every outgoing email. This can include:
- Name and title
- Company logo
- Phone number and social links
- Legal disclaimers
Active and Inactive Profiles
Toggle a sender profile to Inactive to prevent it from being used for new outreach while keeping the profile for historical reference. Inactive profiles appear dimmed in the list.
Troubleshooting
Emails not sending from the profile
- Verify the sender profile is linked to an active email channel account.
- Check that the email address matches an identity in your connected mailbox.
- Ensure the sender profile is set to Active.
AI not using the correct tone
- Verify the tone setting on the sender profile.
- Check the bio/notes field for any conflicting instructions.
Signature not appearing
- Make sure the signature HTML is saved on the profile.
- Check that the channel account supports HTML signatures.
